How to Convert a Bank Statement PDF to Tally XML (2026 Guide)

Updated 11 October 2026 · 4 min read

Retyping a month of bank entries into Tally takes hours and invites mistakes. Converting the same statement takes about a minute: the PDF is read, every receipt and payment is prepared, and you download a Tally-ready XML. Here is the full process.

01

Download the statement

Get the PDF from netbanking or your bank app - or export a CSV, which parses even more reliably. A one-month period keeps the review quick.

02

Upload it to the converter

Drop the file in and Entrifix identifies the bank automatically, reads the columns, and captures deposits, withdrawals and the running balance.

03

Review the entries

Check the count, opening and closing balance, and edit any narration or ledger name. Entries you cannot place go to Suspense so nothing is misposted.

04

Download the Tally XML

Pick the client, name the bank ledger exactly as it appears in Tally, and download. Deposits become Receipt vouchers, withdrawals become Payment vouchers, with bank references attached for reconciliation.

What makes a conversion import cleanly

Tally refuses a file when a ledger is missing or the XML envelope is malformed. Entrifix creates the Suspense ledger and any counter ledger you name inside the file itself, so the only prerequisite is that your bank ledger already exists in the company you import into.

Every voucher carries the original narration trimmed to Tally's limits, the correct amount sign, and the bank reference (UPI, NEFT, IMPS or cheque number) in the narration for bank reconciliation.

Common problems and how to avoid them

  • Password-protected PDF: enter the password when asked. It is used only on your computer and never saved.
  • Scanned or photographed statements: these have no selectable text, so extraction can miss entries. Request a digital statement from netbanking instead.
  • Duplicate entries in Tally: convert each statement once. Entrifix warns you when you upload a file you have already converted.
  • Wrong bank ledger name: the name must match Tally exactly, including spaces and hyphens.

Reconcile after importing

Once imported, open the bank ledger in Tally and compare the closing balance with the statement. Every voucher keeps the bank's own reference, so BRS (bank reconciliation) lines up without manual matching.

Common questions

Entrifix recognises 65+ Indian banks automatically, including HDFC, ICICI, SBI, Axis, Kotak, PNB and Bank of Baroda. Other banks still work through the general reader, and CSV exports from any bank's netbanking almost always parse cleanly.

Yes. Most bank PDFs are protected with a password based on your name, date of birth, customer ID or mobile number. Entrifix asks for it in the app, opens the file on your own computer, and never stores the password.

The file creates Suspense and any counter ledger names you typed. The bank ledger itself must already exist in your Tally company - type its exact name before downloading so every voucher posts to it.
